Our client, a renowned boutique Talent Management Agency focusing on Commercial and Celebrity Endorsements is seeking a driven and organized Executive / Personal Assistant for their founder. With a rich history spanning over two decades, the agency has been a key player at the crossroads of commerce, branding and entertainment. We represent globally recognized personalities for a wide range of campaigns, endorsements, branding, and licensing initiatives.
We are presently seeking an Assistant to complement our dynamic team. The selected candidate will undertake a diverse range of responsibilities, encompassing administrative tasks, personal responsibilities to ensure our founder’s day runs smoothly, helping with research endeavors, pitch creation, and strategic collaboration, with ample opportunities to contribute to the expansion of our company.
This position adopts a hybrid work arrangement, combining remote and in-office duties within the Los Angeles area.
Primary Duties:
- Provide comprehensive administrative and office support, including tasks such as call management, calendar organization, travel logistics, meeting preparation, expense reporting, and the coordination of partners and vendors.
- Create compelling presentation decks for pitches and participate in creative brainstorming sessions.
- Maintain precise data grids and demonstrate exceptional follow-up skills.
- Assist in special projects, conduct research, and compile essential information as required.
- Facilitate the invoicing process by submitting client projects to the accounting department and assisting in payment tracking.
- Conduct client research activities to enhance our services.
- Collaborate closely with talent and client teams, ensuring seamless coordination of updates, pitches, and project statuses.
- Occasionally fulfill personal assistant responsibilities for the CEO, including shopping, personal bill-pay and reconciliation, household project coordination, vehicle maintenance, vet appointments, and more.
Qualifications:
- Possess a minimum of 3+ years of professional experience, preferably within the realms of entertainment, management, marketing, or advertising. Previous exposure to agency operations is strongly preferred.
- Demonstrate exceptional attention to detail, coupled with the capacity to function independently.
- Possess strong organizational and time management abilities.
- Display proficient interpersonal skills, with a firm grasp of the importance of maintaining absolute confidentiality when dealing with high-profile clients.
- Exhibit familiarity with the demographics of the brand and marketing industry, along with a working knowledge of the celebrity endorsement landscape.
- Proficiency in Microsoft Office suite, particularly Outlook.
- Desired skills in crafting presentations; familiarity with PowerPoint, Keynote, and some design software is advantageous.
- Comfort and affinity for working with dogs ( you’ll help with visits and medication).
- Possess a bachelor’s degree to substantiate your qualifications.
Salary Range is 80,000-90,000 base plus 100% paid medical and dental plan
