REPORTS TO:
Director of Special Education and/or ALP Program Administrator(s)
RESPONSIBILITIES:
- Assist the Special Ed Director and Program Administrator (s) with correspondence, scheduling, forms, faxes, etc.
- Answer telephone/ take messages
- Greet and monitor visitors
- Sort mail
- Photocopying
- Purchasing of office / school supplies/ maintain program inventories and distribution of supplies
- Maintain student records/schedule meetings/send invitations to meetings
- Organize and distribute student informational packets and forms
- Organize field trips/student events
- Have basic knowledge of all office machines—troubleshoot
- Word process quarterly report cards
- Send student attendance sheets to various districts (monthly)
- Professional and courteous assistance to coworkers/staff/students & parents
- Any other duties/tasks as directed by the Special Education Director and/or Program Administrator(s)
PROVIDE FISCAL OFFICE WITH FOLLOWING DOCUMENTS:
- Monthly listing of students attending various programs (by district)
- Daily time sheets for staff
- Any check requisitions purchase orders, charge card usage requests, mileage & expense reports, receipts for manual checks, substitute time sheets, etc.
- Gas card receipts with employee initials and program marked
- Maintain petty cash/ receipts/ledger
- Verify forms are correctly filled out and have appropriate signatures
- Maintain student attendance/enrollment data/student information updates
Requirements
- Minimum of high school diploma, preferably an Associate’s Degree in relevant field (i.e. office procedures, administrative / secretarial.)
- Basic knowledge of MS Word, Excel, PowerPoint, and Email/Internet/Search Engines.
- Relevant work experience, preferably in a setting with a population that exhibits challenging behaviors.
